Atlantic County Improves Records Management with Digital Technology

Atlantic County Records Management has been nominated in two categories for the annual Public Archives and Records Infrastructure Support (PARIS) Awards Program. The awards recognize county and municipal grant recipients who have excelled in building and improving the infrastructure of their local government archives and records management functions.

Atlantic County has been nominated for awards in each of the awards program's three years, taking top honors for its Enterprise-wide approach to electronic records in program year 2005-06.

This year's nominations are for program year 2007-08 in which Atlantic County is being recognized in the categories of Shared Services and Enterprise-wide Imaging Systems.

Since the program's inception, Atlantic County has been awarded more than $3 million in PARIS grants. This funding has been used to expand Atlantic County's electronic data management system, increase the humber of preserved historic documents, provide the ability to e-file land documents and share knowledge and resources with many county municipalities. Additionally, four distinct data campuses were established throughout county government to improve access and provide redundancy, resulting in a records management infrastructure compatable with the county's overall information technology systems.

There are currently 17 county offices that are imaging their documents. They include the Adjuster's Office, the RISC Office, Emergency Preparedness, the Finance Office, Facilities Management, the Freeholder's Office, Human Resources, the Medical Examiner's Office, the Justice Facility, the Department of Regional Planning, the Surrogate's Office, the Clerk's Office and the Veteran's Cemetery.

While government is often criticized for excessive red tape and paperwork, Atlantic County Records Manager Donna Lenzi continues to work with county offices to make the transition from paper records to digital records. 'We have made significant strides in a relatively short period of time and look forward to continuing this progress.'
